Refund & Return Policy

1. Our service fees

Hollis Payments LLC does not charge merchants an application fee, setup fee, or recurring service fee. Because we are compensated by the sponsoring Acquirer out of the merchant discount, there is no fee to refund on our side. If a fee was ever charged to you in error, it is refunded in full within 10 business days of your written request.

2. Goods or services you sell

This policy does not govern refunds for goods or services sold by merchants we work with. Each merchant publishes its own refund policy and remains solely responsible for honouring it. Before applying, confirm that your own refund policy is published on your website — the Acquirer will check for it.

3. Chargebacks and disputes

When a cardholder disputes a charge, the Acquirer follows card-network rules. The merchant has the right to respond with evidence — order record, delivery proof, communication log, terms accepted at purchase — within the response window stated in the merchant agreement. A chargeback is not the same as a refund: even a won dispute may carry a chargeback fee per the Acquirer's schedule.

4. Rolling reserve release

If your account carries a rolling reserve, the reserve is released per the schedule in your merchant agreement — typically 90 to 180 days after the transaction date, net of any chargebacks or adjustments. Release is administered by the Acquirer, not by us.

5. Account closure

You may close your merchant account at any time by written notice to the Acquirer, with a copy to us. Any pending settlement and reserve balance is released per the merchant agreement after the closure waiting period stated there.
